Bookings & Confirmations

To book a tour with Likana Safaris, simply browse our selection of tours on our website and select the one that suits your interests and travel dates. Once you've chosen your tour, proceed to the booking section and follow the instructions to complete your booking.

Quotations: Please ensure that the quotation given with details of the number of clients, dates, accommodation, transportation, permits, park fees, and all other services to be provided is clear and accurate before confirming the booking in writing. All references to quotations in writing include correspondence by electronic mail.

A booking is not confirmed until:

  1. We have reviewed your request and confirmed availability
  2. A pro forma invoice has been issued by Likana Safaris
  3. The required deposit has been received and cleared
  4. You have received a written booking confirmation from us

We reserve the right to decline any booking request without providing a reason. Non‑adherence to our terms may result in withdrawal of contract rates and release of bookings.

3

Pricing, Inclusions & Exclusions

All prices are quoted in USD unless otherwise stated. The price of your chosen holiday will be confirmed at the time of booking. We reserve the right to correct errors in both advertised and confirmed prices and will do so as soon as we become aware of any such error.

Inclusions: Prices include airport transfers; accommodation; meals as stated; the services of an English‑speaking driver/guide and a safari vehicle; porterage of two items of baggage per person; boat trips; park fees; gorilla and chimpanzee permits where appropriate. In Kampala, prices include bed and breakfast only; on safari, prices cover full board.

Exclusions: Prices exclude airfares to Uganda, entry visas, airport taxes, and gratuities as well as personal expenditure such as hard drinks and laundry at non‑hotels.

All rates are subject to increase with notice due to factors beyond our control such as, but not limited to, Government levies, taxes, and fuel increases. If transportation costs, taxes, accommodation costs, or gorilla permits increase in total to over 2% of the holiday price, a surcharge may be applied. If you are required to pay more than 10% of the original holiday price, you may cancel with a full refund (except for permit fees) within 20 days of notification.

4

Payment Terms

5

Cancellations & Refunds

Cancellation by You

Should you or any member of your party be forced to cancel, you must advise us or your travel agent in writing. Cancellation is not effective until we receive a copy of your written notice. To cover our estimated loss, the following cancellation fees apply (excluding insurance):

Notice Period Refund
More than 30 days prior to arrival Deposit forfeited
30–15 days prior to arrival 50% refundable
Less than 3 days prior to arrival 100% non‑refundable

Gorilla and chimpanzee permits are non‑refundable once purchased. Refund requests must be made in writing; refunds are processed within 7‑14 business days.

In certain cases (natural disasters, political unrest, etc.), we may offer alternative dates or credit, evaluated on a case‑by‑case basis.

Cancellation by Us

We always endeavor to avoid canceling, but we reserve the right to do so. We shall not cancel your confirmed holiday less than 30 days before departure unless you fail to make all payments due in full and on time or we are forced to do so as a result of unusual and unforeseeable circumstances beyond our control (force majeure).

If we cancel (except for non‑payment or force majeure), we shall offer you an alternative holiday of a similar standard if available. If the alternative is less expensive, we refund the difference; if more expensive, you pay the difference. Alternatively, you are entitled to a full refund of all monies paid (save for permits which can only be refunded if the relevant authority refunds us). We shall have no further liability except as stated.

We may terminate the holiday of any person whose behavior causes danger, annoyance, or distress to others or damage to property. In that case, no refund will be made and we shall not pay any expenses or costs incurred as a result.

6

Travel Insurance

Likana Safaris highly recommends that all travelers obtain comprehensive travel insurance to protect against unforeseen circumstances such as trip cancellations, delays, medical emergencies, and lost or damaged baggage. Travel insurance typically covers:

  • Trip cancellations or interruptions due to illness, injury, or natural disasters
  • Emergency medical expenses incurred during your travels
  • Lost or stolen luggage and personal belongings
  • Emergency evacuation or repatriation
  • Travel delays or missed connections

It is your responsibility to purchase adequate insurance at the time of booking. Likana Safaris does not provide travel insurance and is not liable for any losses that would have been covered by insurance.

7

Complaints

Complaints must be reported immediately to our representatives and to the supplier of the service(s) in question, who will do their best to resolve any problem. If you remain dissatisfied, a written report should be submitted to the Head of Operations as soon as possible after the incident and not later than 20 days after completion of your holiday, to enable us to investigate them fully. Regrettably, liability for any complaints not notified in accordance with this procedure cannot be accepted.

8

Force Majeure

We cannot accept liability or pay compensation where the performance of our obligations is prevented or affected by any event which we or the supplier could not, even with all due care, foresee or avoid. Such events include war or threat of war, riots, civil strife, border closures, unexpected government acts, terrorist activity, industrial disputes, natural or nuclear disaster, extreme weather, fire, technical/mechanical problems to transport, road closures, disease, and all similar events beyond our control.

9

Itinerary Changes

Changes requested by you: Changes to your itinerary (travel dates, accommodations, activities) may be accommodated depending on availability and any applicable fees or restrictions. Requests must be made in writing. Changes requested within a certain timeframe before departure may be subject to additional fees. We will do our best to accommodate, but changes are not always possible.

Changes made by us: We reserve the right to vary the safari services agreed with the client in the event of unforeseen circumstances, such as road closures, bad weather, problems with national parks or hotels, or security considerations. In such cases, alternative arrangements will be made as circumstances permit.

10

Your Responsibilities

By booking with us, you agree to:

  • Provide accurate and complete personal information for all travellers
  • Obtain all required travel documents (valid passport, visas, permits) – it is your responsibility to check entry requirements well in advance
  • Disclose any health conditions, physical limitations, or dietary requirements before booking
  • Obtain the necessary vaccinations and consult your healthcare provider before traveling
  • Follow all safety guidelines and instructions provided by our guides and staff
  • Comply with all laws, regulations, and customs of the destination country
  • Respect wildlife, natural habitats, local communities, and cultural norms
  • Conduct yourself in a respectful manner at all times – any behavior that jeopardizes safety or well‑being, including harassment, vandalism, or disregard for conservation, will not be tolerated
  • Obtain comprehensive travel and medical insurance before departure

We reserve the right to remove any traveler from the tour without refund for failure to comply with this code of conduct.

Liability Disclaimer

Likana Safaris shall make every reasonable effort to ensure that all component parts of the holiday are supplied as described and to a reasonable standard. Our employees, agents, suppliers, and sub‑contractors exercise due care in carrying out our obligations.

We accept responsibility for what our employees, agents, suppliers, and sub‑contractors do or do not do (provided they were carrying out work authorized by us). If any part of your holiday is not provided as advertised and to a reasonable standard, we shall pay appropriate compensation if your enjoyment has been affected and you have followed the complaints procedure.

Limitations:

  • Our maximum liability in respect of complaints (except where death, personal injury, or illness results, or claims relate to loss/damage to possessions) is limited to the cost paid for the relevant services. The maximum amount is only payable where the person has derived no benefit from the holiday.
  • Liability for loss or damage to luggage or personal possessions (including money) is limited to a maximum of US$20 on the basis that you have taken out adequate insurance.
  • We take all due care to prevent death, injury, or illness caused by animal or insect life, but it is your responsibility to take proper medical and practical precautions.
  • We will not be liable where any failure was due to the acts or omissions of a third party not connected with the provision of the holiday, or an event which we could not have foreseen or avoided even with all due care.
  • Any claim must be notified in accordance with the complaints procedure.

We are not liable for any costs arising from changes in your travel arrangements due to events outside our control.

Travel Insurance is Mandatory

All clients are required to have comprehensive travel insurance covering medical emergencies, emergency evacuation, trip cancellation, and personal liability. You must provide proof of insurance before or upon arrival. Likana Safaris cannot be held responsible for costs that would have been covered by insurance.

12

Permits & Third‑Party Services

Primate Permits: Gorilla and chimpanzee permits are purchased only when payment has been received. Local conditions may sometimes make access impossible at short notice. We cannot accept liability for any circumstance that might lead to viewing being canceled (closure of parks/borders, absence of animals, security changes). Refunds are at the discretion of the relevant authority; we will use our best endeavors to obtain a refund and pass it on to you if received.

Consumer Protection: Likana Safaris Uganda sells only Tour and Travel Services. It does not sell international flights and is not bonded to do so. International clients who book through Tour Operators or Travel Agents should check the relevant bonding arrangements made by that company for their travel.

Third‑party services (accommodation, airlines, etc.) are subject to their own terms and conditions. We will pass on any additional charges or refunds from third parties as applicable.

13

Transportation

Every effort is made to ensure that vehicles are provided in a roadworthy condition, but no liability can be accepted for breakdown, or any damage or delay. Our guides are instructed to follow our code of conduct; you must not ask them to break it in any way. In the event that a Guide does not follow the code, please inform the Operations Manager. Company vehicles must only be driven by the company's Guide, whose decision on all matters (such as route taken) is final. You will be liable for any damage caused to a vehicle by any interference by you with the vehicle, including legal costs.
